From workbook to labels in three steps.

  1. Open the file or paste the cells

    Open your .xlsx above, or select the cells in Excel, header row included, then copy and paste them in the box. A .csv file opens too.

  2. Check the labels

    The sheet beside the box shows every label as it prints: the name in bold, the apartment on the street line, each ZIP code whole. How your columns are read.

    A column missing from the labels?

    Its header is a name the page doesn't know, such as “Mail to line”. Rename it Name, Address or City, or put it on a line in the full editor.

  3. Choose the sheet, download, print at 100%

    Pick the number printed on your label box, set Start at label for a sheet you already used, download the PDF and print it at Actual size.

A column with a name it doesn't know stays off too. In the full editor you can put any column on any line.

Fixed on the way

  • A ZIP code that lost its zero gets it back: 5401 prints as 05401, for US addresses.
  • A line break inside a cell (Alt+Enter) stays a line break on the label.
  • Rows above the header, such as a title, are passed over.
  • Empty rows are dropped. The country prints only outside the US.

Which sheet of the workbook

The first visible sheet with a header row; a hidden sheet is skipped, and so is the summary sheet Numbers adds to an Excel export. The full editor says which sheet it read.

An old .xls file or one with a password gets this message: “This is an older Excel file (.xls) or a password-protected workbook. Save it as .xlsx or CSV and open it again.”

No Word, or no Office

Any spreadsheet will do: save it as .xlsx or .csv.

This page reads Excel workbooks (.xlsx), CSV files and cells pasted from any spreadsheet. Other files get a note: “Open a CSV or Excel (.xlsx) file, or paste the cells from your spreadsheet.”

  • Excel, without Word

    Excel alone is enough: open the .xlsx above. A workbook with a password doesn't open here; File > Save As, then CSV in the file type box, makes a copy that does (Microsoft's steps).

  • Excel for Mac

    It works the same: open the .xlsx in Safari, Chrome or Firefox. For a CSV, File > Save As and pick CSV UTF-8 (Comma delimited) (Microsoft's list).

  • Numbers on a Mac

    Choose File > Export To > Excel, or CSV (Apple's steps). The summary sheet Numbers adds to an Excel export is passed over. Or copy the cells and paste them above.

  • LibreOffice Calc

    Choose File > Save As, then .xlsx or .csv in the Save as type list (LibreOffice's steps). Its own .ods files aren't read here.

  • Google Sheets

    Copy the cells, header row included, and paste them above. Or click File > Download and choose Excel or CSV (Google's steps). More on labels from Google Sheets.

  • An old .xls file

    In Excel, choose File > Info > Convert to save it as .xlsx (Microsoft's steps). Opened here as it is, it says so and asks for an .xlsx or CSV file.

Three things that keep 5160 labels straight.

Print at actual size

"Fit to page" can resize the sheet, and then the lower rows drift off their labels. The PDF opens at 100%; keep it there.

Feed the right side up

Printers differ: some print on the side facing up in the tray, others on the side facing down. Mark an X on a plain sheet, print once and look before you load labels.

Test on plain paper

Hold a plain-paper print over a 5160 sheet against a window. If it sits off, calibrate once and save the correction for that printer.

Can you print labels directly from Excel without Word?

Microsoft's own steps print labels from an Excel list through Word's mail merge (Microsoft's steps). Here Word isn't needed: open the .xlsx above, choose the number on your box and download the PDF.

How do I print Avery 5160 labels from Excel?

How do I print labels from Excel on a Mac?

The same way: open the .xlsx in Safari, Chrome or Firefox and download the PDF. A list in Numbers opens too once it's exported to Excel or CSV, or you can paste its cells.

How do I convert an Excel list to Avery labels?

Each row becomes one label, and its columns are matched by the names in the header row: Name or First and Last Name, Address, City, State, ZIP. Which names it knows. Pick the number on your Avery box and the PDF puts each label where Avery's template does.

Why did my ZIP codes lose their leading zero?

Excel turns 02906 into the number 2906 unless the column is formatted as Text (Microsoft's note). Here the zero comes back on the label for US addresses; to fix the workbook too, format the ZIP column as Text before typing the codes.

Can I use LibreOffice or an old .xls file?

Yes, saved as .xlsx or .csv first. In LibreOffice Calc, choose File > Save As and pick the type (LibreOffice's steps); an old .xls, Excel converts with File > Info > Convert (Microsoft's steps).

Is there a free alternative to mail merge?
