Each card prints the name twice, once upside down above the fold, with the table under it. The meal choices stay in the spreadsheet.

From guest list to set table in four steps.

  1. One guest a row

    The name as it goes on the card, and the table or seat in a column of its own. A list kept for RSVPs works as it is: its other columns stay off.

  2. Paste it or open the file

    Copy the cells, header row included, and paste them above, or open the .xlsx or .csv. No spreadsheet? Type one name a line.

    A column the cards don't print?

    Only the name and a Table or Seat column print. What each column prints, or put any column on a line in the full editor.

  3. Pick the number on your box

    5011 for six place cards a sheet, 5302 for four bigger tent cards. Print at 100% (Actual size).

  4. Fold and separate

    Each card folds along its score, with the print outside, and tears away from the sheet along its perforations.

  • Text only: names and short lines in Helvetica, Times or Courier, with a line-art design if you like. Photos, logos and script lettering can't be added.

  • Gold or embossed borders: keep your lines inside the border, and print one sheet on plain paper to hold over a card sheet first.

How the card folds

Upside down on the sheet, upright on the table.

Every card prints on one side of the sheet: the name below the fold, and again above it, turned 180°. Fold along the scored line with the print outside, and each guest finds their name from either side of the table.

3. Stand it up. The fold on top, each side reads upright to whoever faces it.
  • Both sides say the name, so it reads from across the table too. In the full editor, set the back of the card to Blank to print the front alone.
  • Print one sheet on plain paper first and hold it over a card sheet against a window: the names should sit inside the cards, clear of the fold.
  • Scored and perforated: each card folds cleanly along its score and tears away from the sheet along its perforations.

What each column prints.

The header row tells the cards which column is which. Nothing to rename first: a list made for RSVPs or a seating chart works as it is.

Table numbers print as “Table 4” only when every cell of the column is a number, such as 4 or 12A. Mix in a word, such as “Head table”, and every cell prints as it is: write “Table 4” in the cells, or change the line in the full editor.

Three things that keep 5011 cards straight.

Print at actual size

"Fit to page" can resize the sheet, and then the lower rows drift off their cards. The PDF opens at 100%; keep it there.

Feed the right side up

Printers differ: some print on the side facing up in the tray, others on the side facing down. Mark an X on a plain sheet, print once and look before you load the card sheets.

Test on plain paper

Hold a plain-paper print over a 5011 sheet against a window. If it sits off, calibrate once and save the correction for that printer.

Questions people ask

How do I print names on place cards from Excel?

Copy the guest list in Excel, header row included, and paste it above, or open the .xlsx file. Pick 5011 or 5302, download the PDF and print it at 100% (Actual size) on the card sheets: one card per row, with no mail merge.

How do I print guest names on place cards?

List them one a line, or keep them in a spreadsheet with a Name column: the page makes a card for each, the name large on both sides. A Table or Seat column adds “Table 4” or “Seat 12” under it.

Can I mail merge place cards in Word?

Word's mail merge fills labels from a list (Microsoft's steps), but a folded card also needs its top half upside down, card by card. Here the same list makes a PDF with every top half already turned.

How do I print tent cards from Excel?

The same way, with 5302 picked above instead of 5011. Tent cards are taller, 2 × 3-1/2 in folded and four to a sheet, so a short name prints larger and a second line has room; 5011 is a little wider, so a long name keeps more of its size there.

What if a name is too long for the card?

It prints smaller, as much as it needs to fit, and the line under the button says how many cards were set smaller. The other names keep their size.

Can I leave the back of the card blank?

Yes, in the full editor: set Back of the card to Blank, and only the half below the fold prints.

Is my guest list uploaded?

No. The names are read in your browser and the PDF is made there: nothing is uploaded or kept, and no name goes in the page address.

Seating chart changed? So can the cards.

The editor opens the same list: leave guests out, sort by last name, put a note on a line of its own, leave the back blank, or print one card again.
