Excel
The workbook (.xlsx)
Opens with the header row frozen. The ZIP column is text, so a ZIP you type keeps its zero: 05401, not 5401.
Christmas cards · Excel, Google Sheets, CSV
One row per household, with columns for the cards you sent last year, send this year and get back. Download it for Excel or as a CSV file, fill it in, then paste the rows marked Yes below to print the address labels.
The template
Eight made-up households show how each one is filled in. Delete them, add yours, and keep the file for next year.

Excel
Opens with the header row frozen. The ZIP column is text, so a ZIP you type keeps its zero: 05401, not 5401.
Google Sheets
Open a sheet, click File > Import, choose the .xlsx and pick Create new spreadsheet. To print, copy the cells back here: labels from Google Sheets.
Anything else
Plain text for Numbers or an address book. Excel drops the zero a CSV's ZIP starts with; the labels put it back for US addresses.
Both files are made in your browser. Nothing is uploaded.
Do it here
Copy the header and the rows marked Yes under Send 2026 and paste them here, or open the whole file. The sample is the template's own seven Yes rows.
Worked example
The No row stays in your list and off the sheet, and nothing from Notes or the year columns prints.
| Row | Name on envelope | Street | Apt / Unit | City | State | ZIP | Send 2026 | Notes |
|---|---|---|---|---|---|---|---|---|
| 2 | The Harper Family | 12 Juniper Ln | Burlington | VT | 05401 | Yes | Baby Rose arrived in May | |
| 3 | Aunt Carol & Uncle Jim | 340 Sycamore Dr | Dayton | OH | 45409 | Yes | ||
| 4 | Dr. Priya Raman | 27 Hawthorne St | Apt 4C | Cambridge | MA | 02138 | Yes | |
| 5 | The Castillos | 905 Mesquite Ln | Tucson | AZ | 85716 | No | Moved in July: ask for the new address | |
| 6 | Ben & Maya Feld | 14 Orchard St | Hoboken | NJ | 07030 | Yes | New this year, from book club |
The .xlsx for Excel, or the CSV for anything else. In Google Sheets, import the .xlsx.
The name as it goes on the envelope, then the address. Last year's cards go under Sent 2025.
“The Harper Family”, “Aunt Carol & Uncle Jim”, “Dr. Priya Raman”: the forms that work, and the plural without an apostrophe, are in the Christmas card guide.
Yes or No under Send 2026. Notes are yours: a move, a new baby, a card that came back.
Paste them in the box above with the header, pick the number on your box and download the PDF. Copying only the Yes rows.
How far a list goes on each sheet, from Avery's own template sizes. The numbers in a row share one layout.
| Sheet | Label size | Per sheet | Same layout | Good for |
|---|---|---|---|---|
| Avery® 5160 | 1 × 2-5/8 in | 30 | 8160 · 9160 · 18160 +56 | 80 households fill three sheets, three lines a label. |
| Avery® 5161 | 1 × 4 in | 20 | 8161 · 5261 · 5909 +19 | 80 households fill four sheets; room for “Sam Whitaker & Jordan Lee”. |
| Avery® 5162 | 1-1/3 × 4 in | 14 | 8162 · 5262 · 5522 +8 | 80 households fill six sheets, with room for a country line. |
A card list grows a little every December. Four habits keep it right.
The name the way it goes on the envelope, then the address. How to write each name.
Next October, add Send 2027 and Received 2027 and keep this year's: you'll see who stopped writing back.
Fix the address when it changes, and say so in Notes. Mark No until a new one comes, as the Castillos' row does.
Two rows for one household print two labels. The full editor marks rows that print the same label and can leave them out.
Copy the header and the rows marked Yes under Send 2026, then paste them in the box above.
Step 3 matters: Excel can copy hidden rows along with the ones you see. Microsoft gives that step for Windows only: on a Mac, sort by Send 2026 instead, as in Google Sheets, so the Yes rows sit together. More on printing labels from Excel.
The same sort works in Excel or Numbers.
"Fit to page" can resize the sheet, and then the lower rows drift off their labels. The PDF opens at 100%; keep it there.
Printers differ: some print on the side facing up in the tray, others on the side facing down. Mark an X on a plain sheet, print once and look before you load labels.
Hold a plain-paper print over a 5160 sheet against a window. If it sits off, calibrate once and save the correction for that printer.
Yes, free: the .xlsx above. It opens with the header row frozen and the ZIP column set to text, so ZIP codes keep their leading zero.
Google Sheets, yes: open a sheet, click File > Import, choose the .xlsx and pick Create new spreadsheet (Google's steps). Google Docs is for documents: keep the list in a sheet and paste its rows here when it's time to print.
Print the spreadsheet itself from Excel or Google Sheets to tick names off by hand. What this page prints is the labels: one per household, on Avery® 5160 or a similar sheet.
Yes under Sent 2025 for last year's cards, under Send 2026 for this year's, and under Received 2026 as cards arrive. Next October, add two columns for 2027.
You don't need one: the list is a spreadsheet you already have, and this page prints its labels with no account and nothing to install.
Copy the rows marked Yes, header included, and paste them in the box above, or open the file. Pick the number on your label box, download the PDF and print it at 100%.
Open the whole file in the editor to leave rows out one by one, sort by last name or ZIP code, or print copies.
